April 26th, 2018

MEETING MINUTES

       ATTENDED:

        Darlene West, Lynn Buker, John Percifield, Andy Asberry, Wilma Reed, Ann Murphy,

         Ron McRuiz, Robert McMinn

 

  1. CALL TO ORDER-Darlene West

      • John Percifield made a motion to accept the Treasurers Report, Ron McRuiz 2nd; motion carried

                 

  5. APPROVE MINUTES

     

    • Ann Murphy made a motion to approve the minutes, Andy Asberry 2nd; motion carried

       

  6. NEW BUSINESS

     

    • Darlene has added a page to the Friends Website. It is called “Yesterday”. Newspaper Clippings from the Cleburne Chronicle and other local Town Newspapers. She is adding these daily.

       

       

       

  7. OLD BUSINESS

 

Merchandise

 

  • Darlene is looking at new merchandise for the Friends to sell. She has quotes for
    • Key Chains- 100 for $160.00-$1.60 ea.
    • Mugs- 24 for 323.64- $13.48ea
    • Bags- 150 for 323.80 - $2.15 ea.
    • Travel Mugs 25for $165.25- $6.61 ea.

       

    • Lynn looked at her wholesale contacts. The wholesale contacts have a minimum $$ that would be more money for us to outlay.

       

    • Robert McMinn thought we should put the Historic Johnson Co. Logo on one side and Friends Logo on the other side.

       

  • Darlene made a motion to purchase the key chains; Robert McMinn 2nd, motion carried
    • Lynn will attend to purchase

       

  • Darlene acquired bag price quote @ .76 ea. for 250 bags they are 10.5x8
    • Lynn will also get quote for different sizes.

       

  • Darlene also asked about a new Tee Shirt.
    • Ron McRuiz has a source and will get us a quote.
    • Lynn states she has made an area in her store to sell the Friends Merchandise.

 

Membership

 

  • How do we expand our Membership? Get out and promote what friends do?

     

    • Darlene has sent our Johnson Co. Pictorial Book the High School. Susan Tranum, Cleburne High school Librarian, thanked us for the book.

       

    • Darlene has also contacted the Chamber of Commerce to see about a membership drive.
    • We can also set up at: Old Settlers Reunion, Pioneer Days and Candlewalk. Warmer weather may help our booth at the Chisholm Trail Outdoor Trade Days.

       

    • Darlene has put a membership form on our website.

       

       Chair Plaque Quote

       

  • Lynn states she received a quote for the plaque with up to 18 Spaces for previous Chairmen of the Board for the Friends. Looks like $65-79.00 and each name will cost 2.50- 5.00 per name plate engraved.

     

    • Names will begin with Bill Conover, Bob McAlister, Russ Gibson, Rob Robinson, Bill Conover, Darlene West

       

    • Andy Asberry made a motion to purchase the plaque with 18 name spaces. Wilma Reed 2nd; motion carried

       

      Name Tags

       

  • Darlene asked if we could get name tags for all our Friends Members.

     

    • Lynn will get us a quote for the amount for our next meeting.

       

       

      Fundraising Projects/ Events

       

  • We will participate in Pioneer Days in November and The Candle walk in December.

     

  • The following are yet to be decided:

     

    • Quilt Show
    • Air Show July 7th (this will be a Fly in only with Pancake Breakfast)
    • Do we want to do these? Decision at next meeting.

 

Tax Returns for Friends

 

  • Wilma Reed and Ann Murphy will go through and confirm if these have been done. If they need to be filed, they will report at our next meeting.

  5. NEW BUSINESS

     

    • Andy Asberry asked that we move the meetings back to the Court House and made a motion, Bill Conover 2nd: Motion carried. Next meeting will be April 23 in Room 104 at the Courthouse.

       

    • Darlene asked us to think about methods to expand our Membership and relay ideas at next meeting.

       

    • Darlene will put a membership form on our website.

       

    • Darlene is looking at new merchandise for the Friends to sell. She has quotes for the following:

       

      • Key Chains- 100 for $160.00-$1.60 ea.

        We will continue to sell our books, Tee’s and hats.

  • Lynn states she would make an area in her store to sell the Friends Merchandise too. Wilma made a motion to accept Lynn’s offer to display Friends Merchandise., Ann Murphy 2nd; Motion carried

     

 

  • Website is Complete!

     

  • We need to get a quote for our plaque for previous Chairmen of the Board for the Friends. Lynn states she will see about a quote for the plaque with up to 16 Spaces.

     

  • Darlene asked if we could get name tags for all our Friends Members. Lynn will get us a quote for the amount for our next meeting.

     

  • FOC event participation: Vote at next meeting

     

    • Quilt Show?
    • Air Show July 7th will be a Fly in only with Pancake Breakfast.
    • We will participate in Pioneer Days in November.

       

    • Darlene set up at Chisholm Trail Outdoor Museum Market Days. They had no people and no sales. We need to rethink participation at this event.

    DISCUSSION OF WEBSITE

     

    • Sagentics will not be doing the websites for Friends or the JCHC website. Darlene and the IT Director of Johnson County have updated both websites and will be keeping it in house. It is now on Johnson County’s Website and includes the JCHC minutes and agenda and the Friends of Johnson County minutes and agenda. Looks awesome Darlene, great job!!

       

      DISCUSSION OF FRIENDS BROCHURE

       

    • Darlene is working on the Brochure for the Friends of Johnson County. She has brought a proof for the group to look and critique.John asked that we get a photo of Burleson Interurban Car and Chisholm Trail Outdoor Museum Photo to add to the Brochure. Everyone agreed that we add those photos. Darlene stated she would get them added. John Percifield made a motion to get them finished and printed, Bill Conover 2nd; Motion Carried

       

  7. OLD BUSINESS

     

    • Bill Conover will make the e-mail notice in our By Laws official.

       

    • Darlene asked if we could get name tags for all our Friends Members. Lynn will get us a quote for the amount for our next meeting.

7. DISCUSSION OF WEBSITE

Sagentics will not be doing the websites for Friends or the JCHC. Darlene has spoken to IT Director of Johnson County and he will be updating both websites and keeping it in house. It will be a win, win for both of us.

 8. DISCUSSION OF UPCOMING PROJECTS

Bill stated that new officers will have to discuss the current list of projects and possible new ideas for fundraising for the New Year. 

9.  UNFINISHED BUSINESS PREVIOUSLY APPROVED AT FOC MEETINGS 2017

  1. Purchase of Plaque with the names of all prior Chairmen of the Board of Trustees;
  2. Donation of two FOC Books to each High School in Johnson County;
  3. Participation in the July 2018 Airshow;
  4. Reinstating the Quilting Show;
  5. Participation in Fourth Saturday Trade Days at the CTOM
  6. Participation in Pioneer Days;
  7. The FOC website.
  • We also need to find ways to get our membership up. Bill then handed the meeting over to our new President, Darlene West
